Review agents

Two AI agents, one for each review team, assess every case as soon as it is filed. They read the file, open every document and hand back a decision. The Vindex team then accepts it, or sends the case to the people.

Two agents

Legal team agent
Identity, authority, sanctions and legal standing: who the party is and whether the documents prove it, authority to act and legal existence, sanctions, PEP and enforcement records, ownership and control, and whether each document is valid, current and consistent.
Accounting team agent
Source of funds, financial evidence and anti-money-laundering risk: where the money comes from and the evidence for it, financial and tax documents, whether the amounts and the purpose add up, the owners' financial exposure, and how often the case should be monitored.

Each agent works the way a reviewer would, through the case:

Case file
Screening
Documents
Decision
An agent reads the case file and the screening, opens every document, then decides.

It looks at every document itself: whether it is the document it claims to be, whether every key detail can be read, whether it is complete and in date, and whether the names, numbers and dates agree with what was declared and with the other documents. It rules only on documents it has opened.

When they run

  • When a case is filed, as soon as the automatic checks finish. Nobody has to press anything: the case waits for the Vindex team with both decisions on it, and the team is notified when they are ready.
  • When the customer answers a request, so the decisions reflect what was sent.
  • Whenever you ask, from the case's Review agents tab, in any mode.

A review takes a minute or two. While it runs, the tab shows each step as it happens.

The three modes

The mode sets how demanding the agent is. The Vindex team sets the mode for new cases under Mode for new cases (1, in the picture below); any review can be run again in another.

Lenient
Benefit of the doubt. Accepts what is good enough to rely on, asks only for what is essential, and prefers conditions to rejection.
Balanced
By the book. Applies the checklist as written: clear, complete, consistent documents pass; real gaps are asked for.
Strict
No loose ends. Every detail must be clear and corroborated. Any doubt becomes a request, and nothing is approved with points open.

Reading a decision

Outcome
Approve, approve with conditions, reject, or more needed from the customer, with a one-sentence reason.
Risk and confidence
The agent's view of the risk, and how sure it is, each as a three-step gauge.
Documents
A ruling on every document: accept, ask for a better copy, or reject, with the reason written to the customer. A file that could not be opened is marked not reviewed.
Why
The findings behind the outcome, most serious first.
Requests
What the customer still has to send, and why.
Conditions
The conditions an approval would carry.
Not checked
What the agent could not assess, such as a check that did not run. Missing evidence is never treated as bad evidence.

Accept or send to the teams

Nothing on the case changes until you choose. At the top of the tab are both outcomes (2) and two buttons:

The top of the Review agents tab
The Review agents tab: (1) the mode for new cases, (2) both outcomes, (3) Accept both reviews, (4) Send to the legal and accounting teams. Each agent's full decision follows below.
Accept both reviews (3)
Applies the document rulings and records both decisions as the legal and accounting opinions. The case moves straight to the final decision.
Send to the legal and accounting teams (4)
For when you want people to review it. The case goes to the firms as usual.

Use it whenyou agree with one agent but want a person to look at the other side.

  1. 1

On the agent you agree with, press Accept this review.

  2. 2

Press Send to the legal and accounting teams. Only the other team receives the case; the accepted opinion stays on record.

What is recorded

An accepted opinion is signed as the agent's, with its mode, for example Legal team agent (balanced mode), and the audit trail names the administrator who accepted it. Untick a document's Apply box to leave that ruling out.

Careful

Accepting a decision that rejects every document leaves the case with nothing the teams can review. If you disagree with the rulings, send the case to the teams without accepting them.

Review again

Under each decision, Review again in another mode runs that agent again, in the mode you choose: strict for a case that feels wrong, lenient to see what is truly missing. The new decision replaces the old one on the tab; an opinion already accepted stays on record.

If it did not work

A review that says it did not finish was usually stopped by the AI service being busy. Press Review again. Vindex waits for a busy service and tries another model before giving up, so this is rare.

How the AI is used, and its limits, are set out in How AI is used.
