The admin workspace

The Vindex team's workspace is where every case is watched, read and decided. This page covers the queue, everything inside a case, and the pages that keep the service running.

The queue

Queue lists every case, newest first, with its reference, customer, status and risk. Search by name or reference to find one. Opening a case makes it the active case: the case picker at the top of the screen shows it, and the case pages that follow all open on it.

The admin queue
The queue: every case, its stage and its risk, with (1) a search across them.

Tip

Switch the active case from the picker at the top of any page. You do not need to go back to the queue to move between cases.

Inside a case

Case Detail opens the active case in tabs, each showing one side of it:

Case detail
The customer's profile, why the case was opened and their answers, where each review team stands, notes, flags and any linked organisation.
Document review
Every document, with the automatic reading beside a preview, and the controls to accept, query or reject it.
AI review
The automatic checks that ran before review, and what the AI made of the case as a whole.
Review agents
The legal and accounting agents' decisions, and the choice to accept them or send the case to the teams. See Review agents.
Evidence
Every provider check, and the LSEG World-Check screening with each match in full. Switch on AI mode for a briefing. See Screening and AI mode.
Audit logs
Everything that has happened on the case, who did it and when.
A case open in the admin workspace
A case, open on its first tab. The tabs along the top each show one side of it.

Reviewing documents

Use it whenyou are checking what the customer uploaded, document by document.

  1. 1

Open Document review. Each document has its own tab, labelled with its type and country.

  2. 2

Compare the preview with what the reader lifted off it, and with the customer's declared details.

  3. 3

Mark it accepted, queried (a clearer copy is needed) or rejected, with a note saying why.

The document review tab
Document review: the document, what was read from it, and the ruling.

Good to know

The tab counts how many documents are accepted out of how many there are, so an unreviewed document is never missed. A review agent's ruling is applied here too, once you accept its decision.

Asking the customer

Use it whenthe file is not enough: a document is missing or unreadable, or you need an answer.

  1. 1

In Document review, open Ask for another document (1), or send a clarification from the case.

  2. 2

Name exactly what you need (2), including any period it should cover, for example Bank statements for the last 6 months. Pick a country (3) if the document should come from one of the case's other countries.

  3. 3

Add a note to the customer saying why, and send it.

Asking the customer for another document
Asking for a document by name: (1) Ask for another document, (2) the document, (3) the country it should come from. The customer uploads it from their Status page.

What you will see

The request on the case, and the case waiting on the customer. When they reply it comes back to you, and the review agents look at it again.

Careful

A case has one open request at a time and can go back to the customer five times in all. Put everything you need into one request.

Sending a case to the teams

Every new case is reviewed by the agents first and then waits for you. To have the law firm and the accounting firm review it as well, send it to them:

  1. 1

From Review agents, press Send to the legal and accounting teams. Or open Payout to choose which firm and which reviewer takes it first.

  2. 2

Both teams are notified and review the case side by side.

If you accepted one agent's review before sending, only the other team receives the case: the accepted opinion stays on record. With both opinions in, the case moves to Final Decision. See Risk, decisions and reports.

EDD and SAR

EDD
Enhanced due diligence: a deeper look at a higher-risk case. Raise it with the reason, the items you need and your rationale, and name a senior reviewer. The customer is asked for the items; when they respond, the case returns to the review. Cases whose risk calls for it open EDD automatically.
SAR
A suspicious activity report to the authorities. Draft it from the case with the trigger, a summary of the suspicion and the narrative; the AI can write a first draft from the file for you to edit. A SAR is never shown or disclosed to the customer.

Never tip off the customer

Do not tell a customer that a SAR is being considered or has been made. Vindex keeps SARs out of everything the customer sees, including their report.
