Organisations

Verifying a company asks for more than verifying a person: the company itself, the people who run it, the people who own it, and where it is based. This page shows what Vindex asks for, and how to bring your colleagues in to help.

Organisation cases

Choose Organisation when you create the case. The company's onboarding then asks for its own details as well as yours:

Company details
Legal name, type of company, registration number, tax numbers where the country has them (in India, the CIN, PAN and GSTIN), date of incorporation, nature of business, industry and website.
Company documents
The certificate of incorporation and the company's own tax documents.
Directors
Each director, with their documents.
Beneficial owners
Everyone who owns or controls the company, with their share and their documents.
Registered office
The address, with a proof of address.
AML declaration
Where the money comes from, where the company operates, and a confirmation that what you have given is true.

Tip

Gather the register of directors and the shareholder register before you start. Most of the questions are answered straight from them.

Directors and owners

For each director give their name, role, email, mobile number, date of birth, nationality, address, and whether they are a politically exposed person. For each beneficial owner give the same, and the percentage they own.

Every director and owner is screened against LSEG World-Check in their own right, as an individual, as well as the company being screened as an organisation. A company with a clean name can still have an owner on a sanctions list, so this is where much of the real risk is found. See Directors and owners in the screening page.

Dates of birth matter

A date of birth is what tells a director apart from someone with the same name on a watchlist. Give it for every person: without it, a common name can come back with many possible matches, each of which a reviewer has to clear by hand.

Registered office and declarations

The registered office needs a proof of address in the company's name. The AML declaration asks for the company's source of funds, the countries it operates in, the nature of its business, whether it works in any high-risk industry, and your confirmation that the PEP declarations are complete and the information is true.

If a reviewer later finds something missing from the registered office, the step reopens for you to fix, with the reason shown.

Members and invitations

Use it whena director or a colleague should add their own details or documents to the company's case.

  1. 1

Open Organizations in the left bar and choose the company.

  2. 2

Invite each person by email. Several people can be invited at once.

  3. 3

They receive a link, make their account from it, and join the company's workspace.

What you will see

The invitation listed as pending until it is accepted. An invitation that has not been accepted can be revoked.

Members see the company's cases and can complete the parts that are theirs. The Vindex team can also invite a company's people from the case itself when something is needed from them directly.
