File a case

A case is one verification: you, or a company you act for. This page takes you from an empty account to a submitted case, in the order Vindex asks for things.

Before you start

Filing takes about fifteen minutes if you have these to hand:

Identity document
A passport, national identity card or driving licence for the person being verified, in date and readable.
Proof of address
A utility bill or bank statement from the last three months, showing the same name and address.
For a company
Its legal name, registration number and registered office, its certificate of incorporation, and the names of its directors and of everyone who owns or controls a significant share. See Organisations.
A camera
A phone or a laptop with a camera, for the short video selfie that confirms a real person is completing the case.

Tip

Use the same email address throughout. Your case, its messages and its reports all belong to the account that made it.

Create a case

Use it whenyou are starting a new verification: for yourself, or for a company.

  1. 1

Open Cases in the left bar and press New case.

  2. 2

Choose Individual to verify a person or Organization to verify a company (1). A case stays the kind it was created as.

  3. 3

Give the case a title you will recognise, such as Business account opening, and pick its purpose (2): an education loan, a property purchase, opening an account, vendor onboarding, a partnership, and so on. If none fits, choose Something else.

  4. 4

Add the countries the case concerns (3). See below.

  5. 5

Add a short description, and the name, email and phone number of the person being verified. Press Create case (4).

The Create case form
The Create case form: (1) individual or organization, (2) the purpose, which decides the questions Vindex asks next, (3) the countries, (4) Create case.

What you will see

The case's onboarding page, with its steps down the left and the first one open.

Choose the countries

A case can concern any number of countries: where the person lives and holds citizenship, or where the company is registered and trades. One of them is the primary country, marked with a star.

  • Only the primary country's documents are required. Documents for the other countries are optional: add them if you have them, or if a reviewer asks.
  • Each country brings its own list of accepted documents, and its own automatic checks where Vindex has them.
  • To remove a country, first delete any document you uploaded for it.

Example

A UK resident who also holds Romanian citizenship opens a case with the United Kingdom as primary and Romania added. They upload a UK passport and proof of address, and can leave the Romanian documents until a reviewer asks for one.

Answer the case questions

Under About this case, Vindex asks a few short questions that fit the purpose you chose, so the reviewers understand the context: the amount being raised and the stage of the company for a funding round, the course and institution for an education loan, and so on. They are optional, but a case with them answered is quicker to review.

Where a question asks for an amount of money, pick the currency from the list beside the amount rather than typing it. The list can be searched by code or by name.

Case questions with the currency list open
The case questions: (1) the purpose they follow from, (2) an amount's currency, picked from a searchable list.

Complete onboarding

The onboarding page lists every step down the left. Each one opens when the one before it is done, and you can leave and come back at any point.

Case profile details
Your details as they should appear on the case, your source of funds, and whether you are, or are close to, a politically exposed person.
Accept consent
Agree to the privacy notice and to Vindex running its checks on your behalf. Nothing is checked before this.
Upload documents
The documents for your primary country. See Documents and identity.
Liveness check
A few seconds of video selfie, following the prompts on screen.
Payment
Shown only when a fee applies to your case. Pay by card; the step completes when the payment is confirmed.
Review and submit
Check everything once more and press Submit case onboarding. The case goes to Vindex.

Three more steps appear once the case is submitted:

Address reviewer request
Opens only when a reviewer asks you for something. See Track your case.
Track status
Where your case is, and what happens next.
KYC complete
The decision, once it is made.

What happens when you submit

Vindex starts its automatic checks within moments: it reads your documents, screens you against LSEG World-Check, scores the risk, and has its legal and accounting review agents assess the case. You do not need to do anything while this runs.

Change a case after you create it

Use it whenyou picked the wrong purpose, missed a country, or need to correct a name before submitting.

  1. 1

Open Cases and press Edit case details on the case, or use the same button on the documents step.

  2. 2

Change what you need and press Save changes.

Before you submit
Everything can be changed.
While it is with the reviewers
Nothing can be changed, so the file does not move under them.
When a reviewer sends it back
You can edit it again, except the name, the primary country and the purpose: the checks already ran against those. Message the review team if one of them is wrong.
Once decided
Nothing can be changed.

If it did not work

If Edit case details is not offered, the case belongs to another account: only the customer who owns a case can change its details.
